Your photos, your choice

TechKnowlogy Consulting Ltd · SC-TC-SUM · v2.0

This is a summary of our Terms & Conditions and Privacy Policy, written so you can actually read it. It is not a replacement for them. The full Terms are at www.say-cheese.io/terms and they are what legally applies.

What is Say Cheese?

Scan the QR code, enter the event code, and you can share photos and video from your phone straight to the event's gallery and its live screen. No app to download and no account to create.

What happens to the photos I upload?

  • They are stored privately and securely. They are never posted to a public web address.
  • The person or business hosting the event can see and download all of them.
  • Other guests can view the gallery. Whether anyone can save photos is the host's choice.
  • Approved photos may appear on the event's live screen.
  • We keep them for up to 12 months, then delete them, unless the event says otherwise.

Private events and public events work differently

Private events and public events work differently
Private: weddings, birthdays, partiesPublic: corporate, hospitality, festivals
Getting inQR code plus the host's access code, so only people given the code can join. The same. Every event is code protected.
ModerationThe host chooses whether photos appear straight away or only after someone approves them.Photos are reviewed by a moderator before they reach the live screen.
Saving photosHosts usually turn saving on. You generally know everyone there, so guests can save photos from the gallery to share with friends and family. The host decides whether guests can save photos. The host can always download everything.
MarketingNo marketing tickbox. The host cannot use your photos to promote a business. An optional tickbox. Only photos from guests who ticked it may be used in marketing.

Who checks what gets shown?

Every upload is screened automatically against a database of known illegal images before it can appear anywhere. Real people also moderate. Depending on the event, either everything is checked before it appears, or it appears straight away and is reviewed if someone reports it. Anything showing a child, nudity, violence or anything else that breaks our rules is removed and does not go on the screen.

We may start using AI tools to help spot unsuitable content. We will update our Terms and Privacy Policy before we do, and a person can always review a decision made about your photo.

Can I say no?

Yes. You choose whether to upload at all, and at a business event you separately choose whether your photos can be used in marketing. You can ask us to delete your photos at any time.

1 What You Are Asked To Agree To

Two different things, and they are deliberately kept separate.

I have read and agree to the Say Cheese Terms & Conditions and Privacy Policy.

I understand that photographs or videos I submit, and photographs or videos in which I am clearly identifiable, may be provided to the Event Host and used by that Event Host to promote this event, similar future events and its directly related event activities through its website, organic social media, email newsletters, brochures, event recaps and promotional videos. I understand that I can withdraw consent for future use by contacting the Event Host.

If you leave the second box unticked you can still upload and still use the gallery in full. Marketing permission is never a condition of taking part.

2 Private Events Work Differently

At a wedding, birthday or private party there is no marketing tickbox, because the host is not allowed to use your photos commercially. Instead, when you accept the Terms you are agreeing to this:

I understand that the photos and videos I upload will be shared with the host of this event and with other guests in the event gallery, and that the host may keep them and share them privately with family and friends, including on their personal social media.

A private host can print your photo, put it in an album or share it with friends and family. They cannot sell it, advertise with it, or promote a business with it.

3 Your Rights

Once a photo has been downloaded, printed or shared by someone else, we cannot always pull those copies back, but we will always stop further use on our side.

  • Change your mind. You can withdraw marketing permission at any time by contacting the event host. It is as easy to withdraw as it was to give.
  • Get a photo taken down. Ask the host or contact us and we will remove it from the gallery and the live screen.
  • Report something. If you see a photo that should not be there, report it in the gallery and a moderator will look at it.
  • Ask what we hold. You have rights over your personal data under UK law, including access, correction and deletion.
